Director of Quality & Supplier Management

The Director of Quality & Supplier Management is responsible for supplier interaction and management, including the entire quality control process and all issues related to pricing, efficiency and quality. The role requires a very strong ability to work closely with and manage Asian suppliers in particular. It also requires strong collaboration with team members in Sourcing, Demand and Supply Planning, and Logistics.


Supplier Management & Quality

  • Main point of contact for all suppliers. Negotiates all pricing with suppliers and works to control margins.
  • Works with suppliers to implement quality processes, control and quality points. Defective products are caught before shipping.
  • In conjunction with Demand and Supply Planning works with suppliers on capacity planning and lead times.
  • Strategically manages and builds supplier partnerships to develop effective, strong, functional relationships.
  • Manages and arranges supplier audits for food safety, quality control and fair labor practices. Ensures that suppliers meet all compliance and regulatory laws.
  • Ensure that GFSI standard (SQL, BRC, IFS…), HAACP, GMP and other requirements are maintained and followed.
  • Tracks, responds to and investigates all customer quality complaints.
  • Manages and maintains database of each suppliers’ product and manufacturing certifications including 3rd party testing.
  • Arranges 3rd party testing of suppliers’ products as needed.
  • Develops, maintains and publishes supplier scorecards ranking suppliers based on KPI’s, performance and quality factors. Conducts quarterly supplier business reviews.
  • Regular basis after business hours’ communication to overseas suppliers as needed
  • Overseas travel 2-4 times year or as needed.
  • Manages overseas staff for managing suppliers, quality control, factory audits, production problems, pricing issues, quality inspections and issues, logistics issues and scheduling etc.
  • Hires and manages new overseas staff as needed.

Purchasing Management

  • Based on buying plans from planning sends all P.O.’s to suppliers and confirms P/I’s. Ensures that commercial documents are received, processed and payments made timely.
  • Manages overall product specifications from barcodes, packaging, and box prints. Works with graphic designer as needed for packaging, box prints, etc.
  • Ensures new product specifications are entered and maintained in ERP system.

Experience

  • 8+ years’ experience in quality assurance and managing suppliers in USA & Asia.
  • BS in technical field preferred.
  • CPIM, CSCP, APICS, ASQ certifications preferred.
  • Ability to speak Mandarin a huge plus.
  • In depth knowledge of QA principles, concepts, industry practices and standards.
  • Experience working with GFSI, HACCP, ISO 9000, Safety, Health, and Environment and GMP processes
  • Knowledge of Quality Management Systems (processes, terminology)
  • Knowledge of social accountability standards (SA8000, BSCI)
  • Knowledge of key inventory performance drivers and metrics, turns, margin contributions, etc.
  • Manufacturing or engineering knowledge of fiber molding, injection molding, and thermoforming a plus.
  • Proven leadership, project management, problem solving and team development skills.
  • Experience leading others in a continuous improvement environment.
  • Very good contract negotiation skills.
  • Detail oriented with excellent organizational skills.
  • Excellent analytical skills. Excel expert.
  • Experience with ERP, inventory management/manufacturing systems. Experience with NetSuite a major plus.
  • Proficient with software systems.

Account Manager

Reports to: Account Management Manager
Direct Reports: 0
Hours: 40/week
Location: Petaluma HQ


We are currently seeking an Account Manager for full time employment in our Petaluma office. Account Management works in conjunction with Sales to provide exceptional service to customers through regular communication and follow up. Large portion of the work is to guarantee the accurate and timely entry of customer orders while providing excellent customer service.


About the Position

Order Entry/Data Entry - 50%

  • Use and maintain CRM system (NetSuite) for placing customer orders, capturing customer interactions (phone and email), updating account information, setting up new accounts, etc.
  • Efficient and accurate data entry in ERP System (NetSuite).

Customer Support - 30%

  • Communicate with customers on items such as orders, returns, product issues, inventory levels, product availability and shipment tracking.
  • Efficiently resolve customer issues/problems, including order shortages, claims and invoicing.

Additional Responsibilities - 20%

  • Regularly communicate with Sales on customer needs and/or issues.
  • Communicate and collaborate with other teams including Customer Service, Supply Chain, Finance and Order Management.
  • Prepare shipping quotes and/or order estimates as requested, including product and shipping cost and inventory availability
  • Monitor inventory levels and identify possible out of stock situations.
  • Provide input from customers on product demand for procurement orders.


Qualifications

  • Order entry and order management experience.
  • Strong customer relationship and communication skills, written and verbal.
  • Professional, tactful, and at ease interacting with large customer accounts and stakeholders
  • Extremely organized to efficiently work on and prioritize several accounts at once
  • Detail oriented
  • Ability to coordinate multiple tasks, manage details, and work in a fast-paced changing environment
  • Excellent computer skills and capable of learning new software systems
  • 3+ yrs in Account Management working with medium to large accounts a plus
  • Ability to communicate both written and verbally in English, Spanish is a plus
  • Experience with ERP/CRM, accounting, inventory, and/or order management systems. Experience with NetSuite a major plus

Netsuite ERP Senior Manager


Job Responsibilities

  • Gather user/process information, create functional requirements/business process flows, designs specs and implement in Netsuite.
  • Lead ongoing reviews of business processes, identify efficiencies and implement in Netsuite - optimizing screens, workflows, scripting, custom fields etc.
  • Responsible for application development and integration of EDI, e-Commerce (SCA) and other 3rd party software such as shipping, demand planning, forecasting, order entry etc.
  • Create dashboards, KPI’s and reporting for sales, logistics, order management etc.
  • Ensure data integrity within Netsuite such as customer records, contact data, item specifications, pricing and other entities/records.
  • Manage and reconcile mass imports and exports of data
  • Design, build and maintain custom searches, reports and objects within NetSuite
  • Manage existing SuiteBundles and identify new bundles and third- party applications to improve upon existing processes
  • Main point of contact and administrator for Netsuite. Provide Netsuite training to staff as needed.
  • Create technical requirements documentation, SOPs and provide training to stakeholders
  • Stay up-to-date on the latest technology and software for integration to improve processes and user interaction with Netsuite.

Qualifications/Requirements

  • 8+ years’ experience in a hands-on IT/technology role. 3+ yrs managing Netsuite
  • Bachelor’s Degree in a technical field (engineering, computer science) preferred.
  • Prior experience in evaluating technology requirements for business processes and optimizing processes and technology for higher productivity and efficiency.
  • Strong organizational, project management and time management skills
  • Strong analytical skills, experience with CRM, accounting, inventory and order management systems.
  • NetSuite Administrator, Suite Foundation, ERP Consultant, SuiteCloud Developer Certification a plus.
  • At least 5-10 years of experience and expertise in Netsuite Order to Cash and Procure to Pay Cycles - Sales Order, Advanced Pricing Management, Order fulfillment, Ship Order, Invoice, Item Receipt, Vendor Payment/Credits.
  • Experience customizing NetSuite fields, forms, workflow rules, record types, user roles and dashboards.
  • Familiarity in integration approaches and strategies, experience with web services (XML, SOAP, WSDL), messaging, REST protocols, and SuiteCommerce Advanced a plus
  • Excel expert. HTML, CSS, JavaScript, PHP, SQL, scripting, web services experience and skills.
  • Excellent written, verbal and presentation skills
  • Ability to communicate with non-technical staff and translate user requirements into technical requirements

Customer Service & Account Management Support

The Customer Service & Account Management Support position will be responsible for providing backup for the Customer Service Manager and Customer Service Coordinator, along with being responsible for assisting Account Management with shipping sample orders. We are looking for an energetic and detail-oriented individual who has very strong customer focus, excellent phone and email etiquette. Along with superior customer service skills the ideal candidate would possess a strong awareness of environmental and social issues and feel passionate about making a difference in the world.

Data Entry / Order Entry – 40%

  • Use and maintain CRM system (NetSuite) for entering new leads, sample requests received from Account Managers, and processing orders placed through the website as needed
  • Efficient and accurate data entry in ERP System (NetSuite)

Customer Support - 20%

  • Pack and ship sample requests from office
  • Take incoming calls from Customer Service Line
  • Return messages received on the Customer Service Line

General Office Support - 20%

  • Manage product sample room
  • Order samples from the warehouse for sample room as needed
  • Assist with ordering office supplies and organizing the shipping room

Additional Responsibilities - 20%

  • General backup for the Customer Service Department
  • Help coordinate weekly Friday lunches


Experience & Skill Set

  • 2+ years experience in customer service related area
  • Ability to communicate written and verbally in both English and Spanish
  • 1+ years experience in data entry
  • Excellent customer service and communication skills, written and verbal. Easy to get along with, patient and enthusiastic.
